FAQ

Will my VA speak clear and proper English?


ANSWER: Yes! Our VAs are pre-screened to test their ability to communicate. They're primarily from the Philippines, where English is their second language, and they have extensive customer service and technical support training. You'll also speak to your assigned VAs before commencement of work to make sure they're a good fit.



Can I hire multiple VAs?


ANSWER: Absolutely! We highly recommend it if you have enough moving pieces in your business to support multiple VAs. There is no "one-size-fits-all" VA, and when you attempt to turn your VA into a jack-of-all-trades, it can be less effective. Instead, maybe you can have one VA that handles admin tasks and transaction coordination, while you can use another VA for lead management calls with motivated sellers. This also allows your VAs to become proficient at a specific line of expertise of your business.

How do I assign tasks?


ANSWER: You can assign tasks directly from your Hot FSBO CRM. It's super easy and makes scheduling tasks and managing your team a breeze. However, you're free to use whatever methods you'd like in order to assign tasks.

How do I communicate with my VA?


ANSWER: We recommend you communicate with your VA within the Hot FSBO CRM using the tasks feature and Skype. It's free, and it allows you to call, send text messages, and use a lot of other features both domestically and internationally. That is what they are trained to check every day and that will be the fastest way you to let them know what you want them to do next. If you prefer a different way to communicate with your VA, that is fine as well.

How do I track VA working hours?


ANSWER: VAs are required to send daily log-in and end-of-day reports via email. Their tasks will be accounted on a Google spreadsheet that will also be shared with you. The VAs are also required to be online via whatever communication tool you request during their working period so they'll be accessible for you to text, chat, or call.


How is billing handled?


ANSWER: Billing occurs automatically every four weeks (in advance) for the plan you sign up for. If you cancel,any unused time will be credited back to your credit card.


What if my VA is absent?


ANSWER: Your VA is similar to having an in-house staff. Hence, it’s possible for unexpected illness or other uncontrollable circumstances to occur. If this happens and you need a VA to fill its duties for the time of the absence, we'll do our best to get another one to temporarily fill in for your VA you, so your business doesn't skip important tasks. If you choose not to have a VA fill in on a day that your VA is absent, we'll credit you for that time.


Do my hours roll over if I don't use them up each week?


ANSWER: Hours do not roll over from week to week. Our VAs have set blocks of hours they work for clients weekly, so rolling over hours isn't possible. We want to make sure our VAs give you and all of our clients' businesses, the time and attention they deserve.
